For us it's two or three planning "get-togethers" during the winter and spring that include mapping out the trip, planning menus and then shopping together. We hit a Super Wal-Mart, divide and conquer when it comes to groceries for the trip.
All evenings include either dinner out or some good home cooking and remembering previous trips, of course. The day before heading out, it's another evening together packing & organizing.
There's always an "after-trip" get-together to share pictures, watch a video of the trip---and yes, more good food.
